Awarding of Qualifications |
 7.1 Student record keeping | 7.1.1 The sector affiliate must provide adequate procedures and facilities for maintaining student records.
7.1.2 Recommended minimum details to be kept about each student ever enrolled for CIC/DipICT L5 (CBC)/DipICT L6(DipBC(ACBC)), and NDBC are:
Surname
First name
Initials
Title (Mr, Ms, Miss, Mrs etc.)
Date of birth
Home address
Home phone number
Date of first enrolment
(if part time student)
> Employer name, address, phone + extension, job title
(for each transfer from another Polytechnic)
> Date of transfer
> Name of sector affiliate transferred from
(for each completed module)
> module code
> grade
> date passed
(once a qualification has been completed)
Qualification title
> Date awarded
> Grade (Pass or Distinction)
7.1.3 The grade for each module shall be shown as:
P (Pass)
M (Merit Pass)
C (Conceded Pass)
X (Cross Credit)
7.1.4 It is the responsibility of the sector affiliate to provide secure storage of this information, including appropriate backup, for an indefinite (long-term) period of time. At any time in the future a student must be able to request and obtain a copy of their academic record, even 20 years after leaving the sector affiliate and with all the staff who taught them having also left.
7.1.5 If a student transfers to another sector affiliate it is the student's responsibility to request that their academic record be communicated to the appropriate person at the new sector affiliate. The information required will consist of all details listed under 7.1.2. The new sector affiliate may be required to seek additional information (e.g. nature of already completed assessments for a module only half-finished). Transferring students must be made aware that they are likely to face some differences if they transfer. Sector affiliates may tackle modules in differing sequences, through different learning approaches, offer different modules etc. It will be up to the student to undertake whatever extra work may be required. Students may be informed through a statement in a student handbook.
7.1.6 A statement of the student's current academic record must be available to the student "on demand". This must show:
> the name of the issuing sector affiliate
> student's full name
> for each module completed so far the level/code/module name/grade/date passed/number of credits
> total credits gained so far
> total number of credits required for the qualification.

 7.2 Awarding of Qualifications top | 7.2.1 A student shall be entitled to receive the appropriate qualification (CIC, DipICT L5, DipICT L6, and NDBC) on meeting the requirements of the relevant programme.
7.2.2 Each qualification is awarded by the secor affiliate's CEO acting on the recommendation of the appropriate body or by NZQA.
7.2.3 The CIC qualification may be awarded at two levels, namely Pass, or Pass with Distinction, the latter category indicating an outstanding level of overall performance. A Pass with Distinction shall require a student to have achieved Merit passes in a minimum of 50 credits.
7.2.4 Each diploma qualification may be awarded at three levels, namely Pass, Pass with Merit or Pass with Distinction, the last category indicating an outstanding level of overall performance. The requirements for a Pass with Merit or a Pass with Distinction are as follows:
> A Pass with Merit for the DipICT L5 (CBC) shall require a student to have achieved Merit passes in a minimum of 84 credits.
> A Pass with Distinction for the DipICT L5 (CBC) shall require a student to have achieved Merit passes in a minimum of 105 credits.
> A Pass with Merit for the DipICT L6 (DipBC) shall require a student to have achieved Merit passes in a minimum of 84 credits for this qualification.
> A Pass with Distinction for the DipICT L6 (DipBC) shall require a student to have achieved Merit passes in a minimum of 105 credits for this qualification.
> A Pass with Merit for the NDBC shall require a student to have achieved Merit passes in a minimum of 84 credits at post-DipICT L6 (DipBC) level (Level 7).
> A Pass with Distinction for the NDBC shall require that the student achieve a merit pass in their Project (42 credits) plus a minimum of 63 other credits at post-DipICT L6 (DipBC) level (Level 7).
7.2.5The final Certificate/Diploma must show the name of the sector affiliate, the name of the student, Pass with Merit (if gained), Pass with Distinction (if gained), and the date awarded.
